A business proposal has one job: help a decision-maker understand why choosing you makes sense. That means the document should not simply describe your company. It should move logically from the client's problem to your recommended solution, the value, the delivery plan and the commercial decision.

1. Start with the client's situation, not your company history

Open with a concise understanding of the problem, opportunity or requirement. A reader should recognise their own situation immediately. Long company introductions can come later.

2. Write an executive summary for the decision-maker

Summarise the problem, the proposed solution, the key outcome and why your organisation is credible. Someone who reads only this section should understand the commercial case.

3. Make the scope unambiguous

Explain what is included, what will be delivered, what is not included where relevant, and who is responsible for each major part of the engagement.

4. Show value before price

Pricing makes more sense after the reader understands what is being solved and what outcome they are buying. Tie features and activities to business value.

5. Use proof strategically

Relevant case studies, client examples, qualifications, performance data and project experience reduce perceived risk. Use proof near the claims it supports.

6. Make pricing easy to scan

Use a clean table with clear line items, assumptions, taxes and payment terms. Avoid burying commercial information inside paragraphs.

7. End with a clear next step

Tell the reader what happens next: approval, signature, meeting, purchase order or kickoff.

Presentation matters: once the proposal is written, the document still needs a clear hierarchy, readable tables, consistent branding and a professional cover. Impressa is designed to transform that finished content rather than make you rebuild it from scratch.
