Terms of Service

These Terms govern your use of Impressa Doc, including free previews, document transformation, paid exports and subscriptions.

Effective and last updated: 13 October 2026

Important. Impressa is a document-design and transformation service. You remain responsible for reviewing the accuracy, legality, confidentiality and suitability of every document you upload, edit, generate or distribute.

1. About Impressa Doc

Impressa Doc ("Impressa", "we", "us" or "our") is an online software service operated from Pietermaritzburg, South Africa. It helps users transform existing documents into professionally designed documents and presentations. Features may include document parsing, structure detection, theme application, branding controls, previews, PDF export, editable presentation export, saved projects and account features.

2. Accepting these Terms

By creating an account, using the service, uploading content, purchasing an export or subscribing to a paid plan, you agree to these Terms and our Privacy Policy and Refund Policy. If you use Impressa for an organisation, you confirm that you have authority to accept these Terms on its behalf.

3. Accounts and security

You must provide accurate account information and keep your login credentials secure. You are responsible for activity carried out through your account unless caused by a failure of our systems. Tell us promptly if you believe your account has been compromised. We may require email verification or re-authentication for sensitive actions.

4. Your documents and intellectual property

You retain ownership of documents, text, images, logos, data and other material you upload ("User Content"). You grant us a limited licence to host, copy, process, transform and transmit User Content only as reasonably necessary to provide, secure, support and improve the service.

You confirm that you have the rights and permissions required to upload and process User Content. Do not upload content that unlawfully infringes intellectual-property, privacy, confidentiality or other rights.

5. Generated output

Impressa reorganises and styles source material and may generate summaries, headings, captions or other derived content when a feature is enabled. Automated output can contain errors, omissions, formatting defects or unsuitable wording. You must review generated output before relying on it or sending it to a client, regulator, investor, court, medical professional or other third party.

Impressa does not provide legal, financial, tax, medical, engineering or other regulated professional advice. Visual polish does not mean that the underlying content has been independently verified.

6. Free plan, one-off purchases and subscriptions

Plan limits, watermarks, page limits, export formats and prices are shown at the time of purchase and may change for future purchases. A one-off document unlock applies only to the document identified at checkout. Subscription features remain available while the subscription is active and in good standing, subject to applicable usage limits and fair-use protections.

Team access may be offered through self-service or assisted onboarding depending on production availability. Team functionality can include invitations, Owner/Admin/Member permissions and a shared document library. The features and seat allowance shown at purchase form part of the applicable plan.

7. Billing through Paddle

Our checkout is processed by Paddle, which acts as Merchant of Record for paid transactions. Paddle may calculate and collect applicable taxes, issue receipts and provide payment and subscription support. Your purchase may also be subject to Paddle's buyer terms and privacy notices.

8. Renewals and cancellation

Recurring subscriptions renew automatically at the billing interval shown at checkout until cancelled. You can cancel through the available billing-management flow or Paddle support. Cancellation normally stops future renewals; paid access generally continues until the end of the current paid period unless a refund or applicable law requires otherwise.

9. Refunds

Refund eligibility is described in our Refund Policy. Nothing in these Terms limits rights that cannot lawfully be excluded under applicable consumer-protection law.

10. Acceptable use

You may not use Impressa to break the law, distribute malware, compromise another person's privacy or security, bypass access or payment controls, probe the service for vulnerabilities without permission, materially interfere with service availability, impersonate another person, or upload content that you do not have authority to process.

11. Service availability and changes

We aim to keep Impressa available and reliable, but we do not guarantee uninterrupted operation. We may maintain, modify, replace or discontinue features where reasonably necessary for security, legal compliance, performance or product development. We will try to avoid materially reducing paid functionality during an active paid period without reasonable notice.

12. Data storage and deletion

Saved documents and account data may be retained while your account is active and for a limited period afterwards where required for security, backup, dispute resolution or legal obligations. Available account controls may allow you to delete saved documents. Details are in the Privacy Policy.

13. Confidential information

You should only upload confidential information when you are authorised to use a cloud service for that information. We apply technical and organisational safeguards, but no internet service can guarantee absolute security. For highly sensitive or regulated information, you are responsible for determining whether Impressa is appropriate for your organisation's compliance requirements.

14. Third-party services

Impressa relies on third-party infrastructure and services, including hosting, authentication, storage, payment and identity providers. Their availability and terms may affect parts of the service. We are not responsible for third-party services beyond the extent required by applicable law.

15. Disclaimers

To the maximum extent permitted by law, the service is provided on an "as available" basis. We do not guarantee that every document will render identically in every viewer, printer, browser or office application, or that automated analysis will always identify every heading, table, image or formatting intention correctly.

16. Limitation of liability

To the maximum extent permitted by law, Impressa will not be liable for indirect, incidental, special or consequential loss, loss of profits, loss of business opportunity or loss caused by a user's failure to review generated output. Where liability cannot be excluded, our aggregate liability relating to a paid service will not exceed the amount you paid to Impressa through Paddle for the affected service during the 12 months preceding the event giving rise to the claim, except where applicable law requires a greater remedy.

17. Suspension and termination

We may suspend or terminate access where reasonably necessary to address fraud, non-payment, security threats, unlawful use or material breach of these Terms. You may stop using the service at any time. Termination does not remove payment obligations already incurred or provisions that by their nature should survive termination.

18. Governing law

These Terms are governed by the laws of the Republic of South Africa, without limiting mandatory consumer rights that apply to you in another jurisdiction. The parties will first try in good faith to resolve disputes informally before pursuing formal remedies.

19. Changes to these Terms

We may update these Terms as the service changes. The effective date above will be updated when changes are published. If a change materially affects an active paid service, we will provide notice where reasonably required.
